Protocols for Use
User Protocols are essentially unique ‘rules’ for using the database, which clearly identify how the database is to be managed on an ongoing basis, such as:
How new consent and compliance data will be collected and entered to the database
Who is responsible for particular tasks
When particular actions need to be undertaken such as signing-off consent conditions
User protocols are not essential, however most clients prefer to have some form of user framework to protect data and maximise accountability. Our professional services partner, Andrew.Stewart Ltd, has considerable experience in the preparation of these protocols.
Typically we also suggest that this work be undertaken prior to user training, so that staff can be upskilled in the parts of the software that are directly relevant to their responsibilities.
OUT-SOURCED COMPLIANCE MANAGEMENT
Out-sourcing of compliance duties is undertaken by organisations with limited staff resources to monitor and manage compliance. Out-sourcing has proven to be a cost-effective and reliable way to rapidly increase compliance across large projects, such as the rollout of new infrastructure, property developments and Annual CAPEX Programmes.
Compliance out-sourcing work is undertaken by our partner company, Andrew Stewart Limited, who undertake similar work for other clients. Generally this work includes:
- Data entry of new consent records
- Setting up and monitoring projects
- Shifting project phases
- Acquisition of compliance data from design engineers and project managers
- Entering compliance data and signing off conditions
- Responding to compliance requests from consent authorities
- Closeout and archiving of consents once fully compliant

Consolidation of Consents
Often we find that our clients can reduce the overall number of consents they hold by undertaking a planning review of their activities. For large organisations such as Local Councils, we have found that the overall number of consents can be reduced by as much as 30%.
Typically this includes assessing the need for historic consents under new Regional Plans and/or surrendering consents no longer required as a result of Integrated Catchment Management Plans.
